BookSmrt and QuickBooks Online, side by side
You started a business, not an accounting degree.
Most bookkeeping software still makes you do the bookkeeping: open the bank feed, pick a category from a long list, match the receipt, then reconcile it all again at month end. Here is one receipt, both ways.
The usual way
9 steps
Open Banking, then the “For review” list
Find the $142.48 Hardware Haven charge among dozens of others
Pick a category from the chart of accountsRepairs? Supplies? Equipment? You have to know.
Add or choose the payee
Upload the receipt photo separately
Match the receipt to the bank line
Confirm and add the transaction
Repeat for every transaction this month
Reconcile the account at month end
With BookSmrt
1 step
Take a photo of the receiptOr forward the email. That’s it.
Done. BookSmrt took it from here.
It read the receipt, found the matching card charge, chose the category from your past records, attached the photo and recorded it. Already reconciled.
The usual-way steps follow a typical bank feed review in QuickBooks Online. Your setup may differ.
How it works
Three things happen. You do one of them, rarely.
One
Everything comes in on its own.
Connect your bank and cards once. Snap receipts on your phone or forward bills by email. BookSmrt reads each one, keeps the original, and pairs it with the right bank line.
Reads photos, PDFs and emailed bills
Pairs each receipt with its card or bank charge
Spots duplicates before they become problems

BookSmrt keeps the books.
It records each transaction in a real double-entry ledger, using your business’s own rules and history. No “for review” pile. No end-of-month catch-up.
Categorized from your past records and rules
Every entry keeps its receipt and bank line
Reconciled as it goes, not once a month

Three
It asks only what only you know.
When a fact is genuinely missing, like whether a purchase was for the business, BookSmrt asks one plain question instead of guessing. Answer with a tap. Try it.
No accounting words, ever
Change anything later just by asking
Pro adds hands-on controls for you or your accountant
One question for you
Was the $142.48 Hardware Haven receipt for the bakery or personal?

Ask your books
Plain English in. Straight answers out.
No report menus, no filters, no exporting to a spreadsheet. Ask the way you’d ask a bookkeeper who knows every receipt you’ve ever had.
Answers come from your own records, and every figure links back to the transactions behind it. Example figures are for a made-up bakery.
Why were expenses higher in August?
AI CFO add-on
A CFO’s briefing, written for you every morning.
Sterling, BookSmrt’s AI CFO, reads your books overnight and writes you a short, honest note: what changed, what to watch, and what to do this week. Every number is backed by your records.
Available for Books and Pro. Forecasts are always labelled as estimates.
From Sterling, your AI CFOMonday, Oct 26, 2026, for Juniper Lane Bakery
A strong October, but watch the flour bill.
Sales are on track for your best month this year, and you have $14,610 in the bank, about seven weeks of costs. Your margin slipped to 61% because ingredient costs rose 9% since August.
This week: ask Flour Mill Co-op about a bulk price before the holiday rush. Raising the sourdough price by fifty cents would cover the difference.
